Job Description

Position: Executive Secretary
Qualification: B.A/Bachelors/MBA
Experience: 3-5 Years
Location: Head Office, Lahore
Salary: 50,000 - 60,000 + Other fringe Benefits
Job Description:
Responsible to maintain the proper cleanliness and adequate decorum of Executive Floor.
Responsible to maintain all the equipment’s (Air-conditioners, visual aid instruments, internet, telephones lines, extensions, lights, camera system etc.) in excellent working condition of Executive floor all the time.
Supervision/monitoring of telephone exchange, internet through IT Coordinator.
Send daily working reports of all HOD’s on email and hard copy to Directors. Manage daily calendar meetings and schedule of Directors.
Responsible for the availability of executive floor i.e. stationery, janitorial items, tea bags while sending budget to Team Lead Administration and getting the job done after approval.
Responsible to arrange/manage the internal & external protocol of Directors wherever required.
Coordinate in travelling arrangements of Directors with all concerned departments.
Responsible for the complete vendor management, ,liaison and assistance in cases of travelling, accommodation, hoteling and exchange for all directors, guests and other senior staff.
For out of country travel coordinate and prepare documents for visa related matters for Directors and Management staff.
Verification of monthly credit & supplementary cards statements of Directors and Verification of mobile phone bills (Company provided).
Timely intimation to accounts department about relevant credit card bills, providing timely statement of mobile phone sim bills to accounts department for payments.
In the absence of Receptionist take care of all related activities.
Any other tasks assigned by Directors & Head Administration.
